Research To Practice, Inc. dba TherapyLog ("we", "us", "our") is committed to protecting the privacy of our users ("you"). Our Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our ecosystem, designed to provide schools with tools for student security up to 12th grade. This includes services such as Emergency Operations Plans, Student Safety Plans, and student Emergency Action Plans.
We collect personal information including names, contact details, student health information, and precise or approximate device location. Location data is collected when a user activates a K12 Alert (panic button) so authorized users can identify where assistance is needed. This information supports Emergency Operations Plan management, student health and safety accommodations, and incident response.
Our app accesses your device's precise or approximate location to support core safety functionality, including identifying the location of a user who activates a K12 Alert (panic button). Location data is collected while the app is in active use ("foreground"), and, once a K12 Alert (panic button) is activated, the app continues to track the user's location in the background for the duration of the alert, until a school administrator stops or resolves it. Location data is used solely to support safety and emergency-response functions, is shared only with authorized users as needed to respond to an incident, and is never used for advertising or sold to third parties. You are able to control location permissions through your device settings, though disabling location access may prevent authorized users from being able to locate you during an emergency.
School staff may enter information provided to them to create individualized plans that give staff guidance for assisting a student during an emergency. This includes two types of plans: Emergency Action Plans (EAPs) — for students with medical fragility or specific health needs, addressing medical emergencies.
Safe Student Plans (SSPs) — addressing general school emergencies such as shelter-in-place, lockdown, or evacuation, and documenting the specific supports a student needs from staff during those situations. Both EAP and SSP records are maintained as part of the student's education record under FERPA, not as protected health information under HIPAA.
School districts may invite a student's legal guardian(s) to review and electronically sign off on an EAP or SSP within K12 Safety. Guardians retain their independent FERPA right to request and review their child's education records at any time, regardless of invitation status.
Access to this information is limited to staff with a legitimate educational interest as defined by FERPA and determined by school administration. Plans are reviewed annually by the school staff responsible for them. This information is never used for advertising or marketing, and is never sold to third parties.
The information you provide is used to manage Emergency Operations Plans, Student Safety Plans, and other related services. Location data is used only in connection with the K12 Alert (panic button) feature, to identify and route alerts to authorized users. You have the capability to upload and enter information, as well as access and read it through our platform.
Administrators have the right to add, edit, and delete information within our system. We respect your right to access and control your personal data.
We employ JWT (JSON Web Tokens) for secure data transmission. Our commitment is to protect your data from unauthorized access or breaches with industry-standard security measures.
We do not engage in international data transfer. All data is processed within the jurisdiction of our operation.
For any privacy-related questions or concerns, please contact us at [email protected]. We are committed to addressing your queries promptly.
We reserve the right to modify this policy. Any changes will be communicated through our platform, and we encourage users to review this policy periodically.
